Job Overview:

The Facility & Helium Coordinator will assist the Facility Management team by reviewing and creating work orders in the Facility Management service site. The position will assist in processing and validating vendor invoices for payment.  Additionally, this position will provide data analysis on over $11M in annual repair and maintenance spend and over $50M in annual helium purchases.  This analysis will assist the Facility Management Team to better understand spending trends, identify opportunities for increased efficiencies, and identify opportunities for reducing overall spend both in facilities and helium.

Responsibilities and Duties:

  • Input all invoices that are expense or capital into the disbursement file to be submitted to the Accounting team at month end for forecasting purposes.
  • Support vendors ensuring invoices are paid on time, within budget, and track all statements through the payable system.
  • Provide data analytics to both facility and helium teams as needed.
  • Analyze R&M and helium spend to provide a clear understanding of expenses and areas for improvement.
  • Identify opportunities to increase efficiency and decrease costs within the helium supply chain.
  • Track and submit for timely payment all monthly helium invoices for all PCHI
  • Ensure sufficient helium is available during key periods of the year
  • Receive, process, and track to budget all invoices for helium
  • Oversee effective and efficient operation of the helium telemetry system
  • Track daily reports of any potential leaks and arrange for immediate repair
  • Track and process daily requests for helium repairs

Qualifications:

  • Bachelor’s degree or the equivalent in relevant work experience
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook and PowerPoint)
